Receipts

Attach invoices and receipts to an order so purchases can be audited later.

Receipts

An order records what you bought and what it cost. A receipt is the proof. For a nonprofit that has to account for its spending, the two need to live together — a folder of PDFs named scan_0043.pdf is not an audit trail.

Receipts attach to the order, and an order can hold as many as it needs: the vendor invoice and the packing slip, or one per shipment when an order arrives in parts.

Attaching one

  1. Open the order and choose Shipping & payment details
  2. Click Attach
  3. Pick one or more files

They upload immediately — there is no separate save step, and closing the panel will not lose them.

What you can attach

PDFs, and JPEG, PNG or WebP images. A photo of a paper receipt is as acceptable as a downloaded invoice, which matters when the receipt is a slip of paper from a hardware store.

The limit is 10 MB per file.

The file type is read from the file's own contents, not its name. Renaming a spreadsheet to receipt.pdf will not get it in — and equally, a photo whose name lost its extension is still recognised.

Viewing and removing

Each receipt lists its filename, size and who uploaded it. Click the name to open it in a new tab, or use the download button to save a copy.

Removing a receipt is permanent, and any member can do it. Nothing records that the file ever existed. If you are keeping these for an audit, treat deletion the same way you would treat shredding the paper.

Where receipts are stored

In the database, alongside the orders they belong to — not on a disk somewhere next to the app.

That is deliberate. The nightly backup is a database dump, so receipts are captured by the same backup, on the same schedule, with the same restore guarantee as the order they document. A receipt uploaded on Monday is in Tuesday's backup. Kept as loose files they would have been covered only by the weekly whole-machine snapshot, and a receipt uploaded and lost inside the same week would simply be gone.

They are also private to your organization. Receipts are served only to signed-in members of the organization that owns the order — the file's link is not a secret URL that works for anyone who has it.
